The Open Store Is Your Exit Ticket

Kerio Connect keeps every message as a plain .eml file on disk. Few mail servers give you that. It changes what a migration can promise.

One file per message

The store lives at store/mail/domain/user/folder inside a #msgs directory, one .eml per item. There is no proprietary container to crack open before mail can move.

Even contacts are .eml

GFI's own documentation confirms contacts sit in the store as .eml files carrying vCard data. Calendars and tasks follow the same open pattern, which keeps them recoverable file by file.

Verification you can count

Because each item is a file, the source has an exact item count before migration starts. Our completion report compares that number against the destination, mailbox by mailbox.

A dead server does not end a Kerio migration. As long as the store directory can be copied off the disk, the mailboxes inside it can still reach Microsoft 365 or Google Workspace.

Store Handling Rules Worth Knowing

Four cautions from Kerio's own documentation that decide whether a store-level migration goes smoothly.

Stop the server before touching the store

GFI's guidance is firm: Kerio Connect must not be running while files are added or copied at store level. A live server rewrites indexes underneath you and clients resync half-moved folders.

Dropped-in mail needs a reindex

Placing .eml files into #msgs makes them exist on disk, not in mailboxes. The Web Admin reindex is what makes the server notice them. Counts taken before reindexing mislead.

KMSRecover replaces, it does not merge

Pointing a restore at a store you have been consolidating overwrites the consolidation. Restores come first, merges come second and the migration reads the final result.

The archive ZIPs hold more history

Kerio's archiving feature writes compressed ZIP archives of the same .eml content. Companies migrating for compliance often need those archives moved too. Say so at assessment and they get their own line in the quote.

Five accounts with no public folders can walk to a new platform over IMAP in an afternoon. Save the budget.

A copied store plus a converter

Holding the store directory already? A desktop EML converter turns it into PST or any format you need, licensed once. We will point you to the right one instead of quoting a project.

Kerio is staying

Kerio Connect remains an active GFI product with current releases. If it serves you and the licensing works, keeping it patched is a plan and nobody needs to migrate anything.

What moves the line: public folders, resource scheduling, archives and headcount. Two of those together usually justify handing the project over.

Kerio filters do not import into Outlook or Gmail. Each user receives their rule list as a checklist, which takes minutes to recreate and saves weeks of confusion.

We migrate Kerio to Microsoft 365 (Exchange Online), Google Workspace (Gmail), Exchange Server (on-premises 2013-2019), Zimbra, Zoho Mail and other IMAP-compatible platforms. We also support Kerio-to-Kerio migrations for upgrades or server consolidation, plus export to PST/MBOX/EML files.

Everything a mailbox holds: messages with their attachments, the whole folder tree, personal and shared contacts, calendars with recurring meetings intact, tasks, notes and mailing lists. Read state, flags, categories and timestamps travel along with the mail.

Mailbox count sets the pace. Up to 50 mailboxes usually wrap inside 3 days, a 50 to 200 fleet takes most of a week and larger estates run as a staged fortnight. The cutover delta itself is a matter of minutes and weekend slots are available for the switch.

Close to none. The heavy copying happens while Kerio keeps serving mail as usual. On cutover day one delta pass sweeps the recent arrivals in minutes and the MX record swings to the new platform. For most staff the whole event is Monday morning trivia.

Yes. We migrate shared mailboxes, resource mailboxes (rooms/equipment), public folders and distribution lists. Permissions may need to be reconfigured on the destination platform depending on capability differences between Kerio and target system.

Typically yes - we need admin-level access to efficiently migrate all mailboxes. Options include: Kerio admin API access, IMAP access with admin credentials or direct access to Kerio data store (for server-to-server migration). We can also work with per-user IMAP access if needed.

Yes. If your Kerio server is no longer running, we can migrate from Kerio backup files or direct access to the Kerio data store directory. We can extract and migrate mailbox data without a running Kerio instance. Just provide the backup files.

During pre-migration phase, email continues flowing to Kerio normally. After MX cutover, new email goes to the destination. Delta sync captures any emails that arrived between pre-migration and cutover. No email is lost during the transition.

For migrations to cloud platforms (M365, Google Workspace), users will have new credentials in the destination system. Kerio passwords cannot be migrated. We can help coordinate password distribution and support users during transition. For some platforms, SSO integration is possible.

Yes. We can filter migration by date range - for example, only emails from the last 2 years. This reduces migration time and destination storage needs. Useful for compliance or when older data is archived elsewhere.

Leave the server powered but read-only for a few weeks as a reference shelf. When the counts are confirmed and nobody has needed to look anything up, switch it off. Nothing on it was changed or removed by us at any point.

Yes. Transfers run over TLS, an NDA can be signed before anything moves and working copies are wiped once you confirm the counts. The job needs headers, counts and folder structure. Nobody here reads message content.
