Through Google's own login window. Click Sign in with Google, approve read access and you are connected. Your password is never typed into the software, 2-Step Verification works exactly as normal and you can revoke the access anytime from your Google account's security page. If you prefer, an app password works too: Google issues one from its security settings once 2-Step Verification is on.

Mail: every message with its attachments, labels, true dates, headers, stars and read state. Spam and Trash join in if you tick them. Contacts and calendars live outside the mailbox, so they travel separately: Google exports contacts as a vCard file and calendars as an ICS file from their own settings pages, a few minutes of clicking. The honest scope up front beats discovering a gap later.

As folders. Your label tree, nesting included, becomes a matching folder tree on your drive. One Gmail message can carry several labels and would normally appear once per label, so duplicate detection recognizes the copies by Message-ID and saves each message a single time. The backup stays the size of your mail, not several times it.

PST if you want to browse years of Gmail inside Outlook. PDF for records you might print or hand to an accountant. MBOX or EML for a future-proof copy that Thunderbird, Apple Mail and most tools can open decades from now. Nothing stops you running the backup twice in two formats: one to use, one to keep.

The first run downloads your whole mailbox and takes the longest. Every later run compares your account against the copy on disk and fetches only messages that arrived since, usually finishing in minutes. Pair it with the scheduler and the backup quietly stays current for years without you thinking about it.

The working pattern: back up the old years to your drive, open the report and confirm the counts, then delete those years inside Gmail yourself and empty the Trash. Its limits show up fast: the export can take hours or days to prepare, arrives as giant MBOX chunks, the download links expire after about a week and there is no incremental mode, so next month means exporting everything again. Takeout also gives you MBOX only, which Outlook cannot open without converting it first. A backup tool signs in, downloads straight to the format you choose (PST included) and then keeps the copy current with small incremental runs.

Depends on mailbox size and Google's pull limits, which slow down heavy downloads on purpose. A few gigabytes usually finish within the hour. A truly packed 15 GB account can run many hours and sometimes spills past a day, because Google caps how fast mail leaves an account. The tool paces itself, retries throttled requests and the run resumes if your connection hiccups. Every backup after the first is incremental and fast.

No. Access is read-only: nothing is deleted, moved, marked or altered in your account. Gmail may show messages as accessed by the connection, but your mail, labels and settings stay exactly as they were. Deleting to free space is always a separate step you do yourself in Gmail, with the backup already safe.

They exist and they work, within limits. Worth knowing before you pay for anything:

• Print to PDF - open a message, print, save as PDF. Fine for one email. Painful for four hundred.
• Download message - the three-dot menu saves a single message as EML. Again, one at a time.
• Google Takeout - exports everything at once, free, but MBOX only, slow to prepare, links that expire and no way to fetch just the new mail next month.
• Connect Gmail to Outlook by IMAP - workable, though it needs IMAP enabled and an app password. Outlook can also be slow to sync a large mailbox.

The manual routes cost nothing and suit a handful of emails. This tool exists for the other case: a whole account, in the format you want, repeated on a schedule without doing any of it by hand.

People with an old college address, a shopping account and a main inbox usually keep three separate backup folders on the same drive, which also keeps the mail from different parts of life apart. Each account keeps its own incremental history, so later runs stay quick for all of them.

No. This is a Windows application and runs on Windows 7 through 11 plus Windows Server. There is no Mac build. Saying otherwise would only waste your download. If you only have a Mac, Google Takeout or an IMAP connection into Apple Mail are the honest alternatives for now.

Any Windows desktop from 7 through 11 in either 32 or 64-bit, plus Server editions back to 2012. Allow 4 GB RAM (8 GB suits a 15 GB Gmail account), 250 MB for the program itself and enough free space to hold the mail you download. .NET Framework 4.8 ships with Windows 10 and 11 already. No Outlook install needed, even when saving to PST.

The trial is the full Gmail backup application with one limit: it backs up the first 25 emails per label. Sign in to your real account, run it, open the files on your drive and judge the result before paying. A one-time license removes the limit. No subscription.
