Export Pegasus Mail to PDF Print single messages with Microsoft Print to PDF, or convert whole PMM and CNM folders in one run

Pegasus Mail has no Save as PDF command. To export Pegasus Mail to PDF you either print messages one at a time through the Microsoft Print to PDF printer built into Windows, or convert the PMM and CNM files with a tool that writes one PDF per message and keeps the attachments. The first route suits two or three messages. The second suits a folder, an account or an archive a lawyer or auditor has asked for. Both are below, with what each one leaves out.

To export Pegasus Mail to PDF for a single message, open it, choose File then Print, pick Microsoft Print to PDF and save. For a folder or a whole account, copy your user folder from under C:\PMAIL\MAIL, load it in Univik Pegasus Converter, tick the folders, choose PDF and run. That writes one PDF per message, named from sender, subject and date, with the Pegasus folder tree rebuilt as sub-folders and attachments kept beside each message. Printing skips attachments and needs a Save dialog for every message, which is why it stops being practical past a handful.

PDF is the format people ask for when the mail has to leave the mailbox and still be readable by someone who has never heard of Pegasus. A solicitor wants the thread with a supplier. An auditor wants twelve months of invoices from one sender. A family member wants the letters from an account that is being closed. In each case a PDF opens on any machine and cannot be quietly edited, which is exactly why they ask for it.

Pegasus Mail, which has been around since 1990, was written before PDF became the default way to hand over a document, and it never gained a PDF export. What it does have is a print command, and Windows has a PDF printer. That covers the small jobs. The larger ones need the mailbox files read directly.

Does Pegasus Mail Have a PDF Export?

No. The File menu offers Print and Save message, and the message list's right-click menu can export selected messages to a text file, but nothing in Pegasus writes a PDF. The text export is a raw dump: full headers, HTML tags left in, one file for the whole selection. Readable in a pinch, not something you would hand to a client.

The Pegasus community forum has been asking for a batch print-to-PDF since at least 2011, and the answers there are still the workarounds: a PDF printer that merges successive print jobs, or printing to separate files and joining them with a tool like PDFsam. Both work and both are slow. The route below parses the .PMM and .CNM files directly from disk instead, which is faster and does not need Pegasus to be running at all.

How Do I Export a Whole Pegasus Mailbox to PDF?

Five steps and about fifteen minutes for a typical account. The output is a folder of PDFs that mirrors the mailbox, one file per message, ready to zip and send.

Locate the Pegasus mailbox on disk

Usually C:\PMAIL\MAIL plus a folder per user

Close Pegasus Mail first. Open C:\PMAIL\MAIL in Explorer and look for a folder carrying the user name. Inside, each mail folder is a single .PMM file, its .PMI index beside it, and unread messages sit as loose .CNM files. Make a copy of that user folder on the PC where the PDFs will be made. It can be the same PC or a different one.

Launch the software and click Open. Pick the user folder you copied. If Pegasus is still installed on this PC, the Open menu can find the account by itself instead. The left pane lists every folder with its message count, and clicking one shows the messages inside with sender, subject and date, so you can check the right mailbox loaded before anything is written.

Tick the folders that should become PDFs

One folder, a few or the lot

Everything is ticked by default. For a legal request or a handover you often only need one or two folders, so untick the rest. Filters can narrow it further by date range, sender or subject, which keeps a ten-year archive down to the part someone asked for. Fewer messages also means the run finishes sooner and the output folder stays readable.

Choose PDF as the save format and a destination folder

Select PDF from the output list and browse to an empty folder on your disk. Each message becomes its own PDF file named from the sender, subject and date. The tool recreates the Pegasus folder tree as sub-folders at the destination, so a message that lived in Clients\Acme lands in a Clients\Acme folder of PDFs. Attachments stay with their message.

Click the convert button and wait for the progress bar. The trial writes a sample from each folder so you can judge the output before paying. Open two or three PDFs in Edge or Acrobat Reader and check the header block, the body text and that the date matches what Pegasus showed. Then zip the folder or copy it wherever it needs to go.

How Do I Print One Pegasus Message to PDF?

For a message or two this is the quickest way and costs nothing. Open the message in Pegasus, choose File > Print, pick Microsoft Print to PDF from the printer list and click Print. Windows opens a Save dialog. Type a name, choose a folder and the PDF is written. Microsoft Print to PDF has been part of Windows since Windows 10, so there is nothing to install.

Two things to know before you rely on it. Attachments are not included, because printing sends the message body and headers to the printer and nothing else. And selecting several messages before printing does not give you one combined document. Pegasus sends each message as its own print job, so Windows asks for a file name each time. Ten messages means ten dialogs. Past that point the converter route saves real time.

PDF is the output we get asked about most for Pegasus, and it is nearly always a lawyer or an accountant behind the request. They do not want the mailbox, they want a folder of documents with the attachments in it and the dates in the file names. That is what we built the PDF output to produce.

The PDFs, plus the originals. A PDF is the reading copy: it opens anywhere, it prints cleanly and nobody can change a date in it without leaving a trace. It is not the evidence copy, because the headers that show where a message came from are rendered as text rather than kept in their raw form. So keep the untouched .PMM, .PMI and .CNM files in a zip beside the PDFs, and if the matter is serious add an EML or PST conversion too. EML keeps every header exactly as received, and a PST opens in Outlook for anyone who wants to search the set.

PDF Export Questions

Can Pegasus Mail save an email as a PDF?
Not with a built-in export. Pegasus Mail has no Save as PDF command and no PDF option in its export menus. The way round it inside Pegasus is to print the open message and pick Microsoft Print to PDF as the printer, which Windows 10 and 11 include. That handles one message per print job and skips attachments. For a whole folder, a converter that parses PMM and CNM directly is the practical route.
How do I print a Pegasus Mail message to PDF?
Open the message, choose File then Print, select Microsoft Print to PDF as the printer and click Print. Windows asks where to save the file and what to call it. Repeat for each message. Do attachments end up in the PDF?
With Microsoft Print to PDF, no. Printing sends only the message body and headers to the printer, so a PDF or Word attachment on the email is left out and has to be saved separately. Can I convert a whole Pegasus Mail folder to PDF at once?
Yes, with a converter. Load the user folder that lives under C:\PMAIL\MAIL, tick the folders you want, choose PDF and run. Every message becomes a PDF and the folder tree is rebuilt at the destination. Pegasus itself cannot do this. Its print command produces a separate job per message and there is no batch save to PDF anywhere in its menus.
Is a PDF export enough for a court, a lawyer or an auditor?
Usually the PDF is what they want to read, and for that it works well because it opens anywhere and cannot be edited by accident. Keep the original PMM and CNM files as well, untouched, in case someone needs the raw headers or wants to verify the message against the source. For a matter that may go to court, an EML or PST copy alongside the PDFs covers both reading and verification.
Do I need Pegasus Mail installed to export to PDF?
No. Univik Pegasus Converter reads the mailbox files on its own. It works on a PC that never had Pegasus or on one where Pegasus stopped opening after a Windows upgrade. All it needs is the user folder copied from the old machine. The print-to-PDF route is the opposite: it only works while Pegasus still runs.
