To make PDF invoices from BUSY data without BUSY, read the company folder with a data converter and choose the dates and voucher types.
It draws sales, purchase and note vouchers as PDF pages with the party, items, HSN, GST and totals. The file is a copy, with no QR code or IRN. Check the seller details in the header first.
A customer asks for last year's invoice, or an auditor wants every sales bill as a file. BUSY is not on this PC. The books are still in the data files, and they can be turned back into PDF copies.
Who Needs PDF Invoices From BUSY Data?
Pick the case that matches yours.
The bill is from a past year and BUSY is not on this PC.
Make the copy →Every invoice of the year should sit in a folder as PDF.
See what the PDF holds →The invoice must carry an IRN or a QR code.
Read the limits →BUSY prints invoices from its own screens. When the program is missing from the PC, those prints are out of reach. The books are still in the data files. A reader can rebuild each sales and purchase voucher as a plain PDF copy, which is enough for a reminder, an archive or an audit folder.
What Does a PDF Invoice From BUSY Data Contain?
Each invoice is one page, or more if the item list is long. The layout is drawn from the entries and follows the order a buyer expects.
| Part of the page | What it shows | Where it comes from |
|---|---|---|
| Header | Seller name, address, GSTIN, PAN, phone and email | Company details in BUSY plus what you add |
| Party box | Bill to or supplier, address, GSTIN and state | The party account |
| Invoice details | Invoice number, date, bill number, sale type and store | The voucher |
| Item table | Item, HSN, quantity, unit, rate, discount percent, GST percent and amount | The item lines |
| Totals | Value of goods, each bill sundry with its rate, total and the total in words | The bill sundries and the voucher |
| Footer | Narration, terms, signatory line and page numbers | The voucher and your terms |
A line at the foot of every page says the file was created from BUSY data with Univik BUSY Data Recovery Toolkit. That keeps the copy honest about where it came from.
Which BUSY Vouchers Turn Into Invoices?
| BUSY voucher | Title on the PDF | Party box label |
|---|---|---|
| Sales | Tax invoice | Bill to |
| Purchase | Purchase bill | Supplier |
| Sales return | Credit note | Bill to |
| Purchase return | Debit note | Supplier |
Other voucher types are left out of the invoice export. They stay available in the Excel and CSV exports. For those, read our guide to exporting all BUSY data to Excel.

Why Do the Seller Details Need a Check?
The header is the part a customer reads first. The company name, address, GSTIN and PAN start from what BUSY holds. A phone number, an email and the terms may be blank. Type them once. The converter saves them on that PC and fills them in next time, so a second batch needs no retyping.
Our view is that this is the step people skip and regret. A PDF with the wrong GSTIN in the header looks official and is wrong. Read the header on the first file before you create the rest of the batch.
What Is a PDF Copy Not?
The PDF repeats the entries in an invoice layout. It has no QR code and no IRN, and it does not reproduce your BUSY print design. Where an invoice must carry an IRN, send the one that BUSY or the portal issued.
Deleted vouchers need care too. If you choose to include them, each one carries a stamp that says it was deleted in BUSY and recovered. A second note appears when some lines are missing. Do not send those to a customer.
- The header shows the right name, GSTIN and address
- Three random invoices match the BUSY register for party, GST and total
- No file carries a deleted stamp unless you meant it to
- Any warning about differing totals has been read
Fix Common Problems With BUSY Invoice PDFs
Do this: The dates or voucher types may exclude everything. Widen the range and tick sales and purchase. The export says when no voucher matches.
Do this: Read the warning for that voucher. It lists the item total, the bill sundries and the voucher amount so you can see which part differs.
Do this: Correct them in the seller box, export again and replace the files.
