BUSY Accounting Software keeps each company in a folder of database files, so a reader that understands that folder can open it without BUSY. Copy the whole company folder to a local drive first.
Excel and Power BI cannot load the files. Open the copy in a data viewer, or point a BUSY install at it.
A pen drive arrives from a client. The old office PC will not start. A new owner wants to read last year's books before choosing a program. In each case the data sits in a folder and nothing on the PC can read it.
Who Needs to Open BUSY Data Without the Program?
Which of these sounds like you? Each card jumps to the part of this guide that fits.
You are an accountant or auditor. The folder arrives on a pen drive. You have no BUSY licence and no reason to buy one for a single review.
Open it with a viewer →A copy of the Data folder is all that survived. You want to see what it holds before you set anything up again.
Prepare the folder →The last owner kept the books in BUSY. You want to read the history before you pick a program of your own.
See the free route →BUSY Accounting Software stores each company as a folder of database files. Normally the program is what presents those files as ledgers and vouchers. When the program is missing, the data is still there. It has no window to show it. This guide covers three ways that work and one that does not.
What to Do Before You Open BUSY Data on Another PC
- Find the folder that holds db.bdsBUSY's own help uses D/BUSYwin/Data as an example path, and your install may differ. If you cannot find it, search the drive for
db.bds. The folder that holds that file is the company folder. - Copy the whole company folderTake db.bds and every year file together. Do not open files from the pen drive. A local copy leaves the original exactly as it arrived.
- Note the financial years you needYear files are named db1 plus four digits for the year the books begin, so db12022.bds is the 2022-23 file.
- Check that you may open the dataBUSY users have their own logins and the books belong to the company. Open only data you are entitled to read.
Which Ways Open BUSY Data Without a Licence?
Three routes work and one does not. Pick by what is already on the PC and what you want to do with the data afterwards.
| Route | Needs BUSY on the PC | Cost | Good for | Watch for |
|---|---|---|---|---|
| BUSY Express, the vendor's free edition | Yes, you install it | Free | A quick look when you already know the program | The vendor lists 100 free vouchers a year and does not say how a larger company opens |
| Restore a backup in another BUSY | Yes, licensed or Express | Depends on the copy you use | Data that arrived as a backup | Restore with Overwrite set to No so the existing company stays |
| Univik BUSY Data Viewer | No | Free to view | Reading a folder where BUSY is not installed | Windows only. Saving to files needs a licence |
| Excel or Power BI | Not applicable | Your own licence | Nothing here | Neither one loads the files |
Can BUSY Express Open My Data Folder?
It can try. BUSY gives a simple route for a loose company folder. The vendor's page on old data after an update lists these steps for a loose company folder.
- Find the optionGo to Company and then Set Data Directory.
- Give BUSY the folderKey in the location of your data folder and confirm with OK.
- Load the companyRun Open Company and select yours.
Express is free. Its page promises 100 free vouchers every financial year and says little else about limits. It does not say what happens when you open a company with more vouchers than that. Test with a copy before you promise a client anything.
BUSY wants the data folder that holds the company folders. Its help says to select the path till the data folder name only and not the company code. Univik BUSY Data Viewer wants the company folder itself. Mixing the two up is the most common reason a first attempt shows nothing.
How to Open a Company Folder With Univik BUSY Data Viewer
Univik BUSY Data Viewer is one module of Univik BUSY Data Recovery Toolkit. It reads the .bds files in a company folder itself. Nothing from BUSY has to be on the PC, with or without a licence.
- Copy the company folderCopy the folder you were sent, such as COMP0001, to a local drive. It must hold db.bds and the year files. Work on the copy so that the original stays as it arrived.
- Install the toolkitRun setup-busy-data-recovery-toolkit.exe. Requirements are Windows 11 or 10 plus the .NET Framework 4.8 runtime. No BUSY files are required.
- Choose the company folderSelect the copy of the company folder, the one that holds db.bds.
- Browse the companyStart at the dashboard. The transactions, accounts and items views come next, with date and voucher type filters on the vouchers. Switch on deleted vouchers only if you need them.
- Tie a few figuresCompare one month of vouchers and a few balances with a report the client printed from BUSY. Do this before you rely on anything you read.
The viewer is read-only. It never writes back to the folder and it works offline, so a client's books stay on your PC. It also reads older .mdb company files. If you need the data in a spreadsheet afterwards, the Univik BUSY Data Converter page lists the Excel, CSV, JSON and PDF outputs.
Univik BUSY Data Viewer opens the folder as it is and shows accounts, items and vouchers. Viewing is free.

Why Do Excel and Power BI Not Open BUSY Data?
A BUSY data file is a database with its own extension. Excel will not treat it as a workbook. A Power BI user on Microsoft's community forum asked how to connect a .bds file and found no connector that accepts it. The Access connector failed too.
Inside BUSY there is one path to Excel. Open a report, press Alt+E and choose Excel. The vendor rules out sending everything to Excel in one step, so a full year means many separate exports. The full list of choices is in our export walkthrough.
What Can You Do Once the Data Is Open?
You can read. The viewer opens on a dashboard, with other screens for transactions, accounts, items and the audit records. You can filter vouchers by date and by type. When you include deleted vouchers, each one carries a status flag such as Deleted or Amount edited.
You cannot enter vouchers, repair a damaged file or replace BUSY. A viewer is for reading books when the program is missing from the PC. Keep BUSY for daily entry.
“Most people only need to look at their books, not edit them. A read-only view that works without BUSY installed covers that need and keeps the original files safe.”
- You opened a copy and the original folder is untouched
- The financial years you see match the year files you were sent
- A few balances and one month of vouchers match a report the client printed
- Any deleted or edited flags are noted as flags and not treated as proof of anything
- You saved your notes or exports with the date and the folder name
Fix Common Problems When You Open BUSY Data
Do this: Check that you chose the company folder that holds db.bds. A single year file does not make a company, so copy db.bds and every db1 year file together. If the viewer still shows nothing, mail the file names to Univik support and add the BUSY release if you know it.
Do this: See the fix for a missing BUSY company. It covers the open-company check, the data path and the lock file.
Do this: Copy it to a local drive and open the copy. A slow link is the usual cause.
Not sure which route fits your files? Contact our support team with the folder name and the BUSY release if you know it.
