How to Export Messages from Google Vault

Complete step-by-step guide to export Gmail, Chat, Drive and Groups data from Google Vault as MBOX, PST or EDRM format using Matters. Includes the critical 15-day download window.

15-day expiry: Google Vault export downloads are permanently deleted 15 days after the export is created. There is no recovery option after expiry — you must re-create the export from scratch. Download all files immediately after the export completes and save them to a secure local location.
Who can export from Google Vault? Users must have the Manage Matters, Manage Searches and Manage Exports Vault privileges assigned by a Google Workspace super admin. Super admins have these by default. If Multi-party approval is enabled for your organisation, a second Vault admin must approve the export request before processing begins.

Open Google Vault

Sign in with your Google Workspace administrator account

Go to vault.google.com and sign in with your Google Workspace account that has Vault privileges. You can also reach Vault from the Google Admin console under Apps → Google Workspace → Vault.

Open or Create a Matter

Matters are the containers for all Vault searches and exports

Click an existing Matter to open it, or click Create to start a new one. Give the Matter a descriptive name (e.g. "Platform Migration March 2026"). All searches, holds and exports for this case live inside the Matter.

For a simple migration export, create one Matter per migration project. For legal holds, create one Matter per legal case. A single Matter can hold multiple searches covering different services (Gmail, Chat, Drive, Groups) and multiple exports at different date ranges.

Export the Search Results

Choose your output format and initiate the export job

After the search runs, click the Export button that appears above the search results. An export configuration dialog opens. Give the export a name and choose your format.

Monitor the Export on the Exports Tab

Wait for the export to complete — large exports may take hours

Click the Exports tab inside your Matter to see all export jobs. The status will cycle from In Progress to Completed. Small exports finish in minutes; large domain-wide exports can take several hours. Vault emails you when the export is ready.

24-hour processing limit. If a large export has not completed after 24 hours, Vault stops it and shows "Export contains partial results." Download what is available, then click Continue export to resume. Give the continued export a new name. Repeat until the Remaining column shows zero.

Download All Files Before the 15-Day Expiry

Save the ZIP and the metadata XML to a secure local location

When the export status shows Completed, click Download next to each file. You will see at minimum two files: the MBOX or PST content file (in a ZIP archive) and the metadata.xml file. Download both. The metadata XML is required for legal chain-of-custody verification.

15-day hard deadline. Google Vault permanently deletes all export files exactly 15 days after the export was created. There is no extension option and no recovery after deletion. Always download immediately after completion and store a backup in at least two separate locations.

What is in a Google Vault Export?

Every Google Vault export is delivered as a ZIP archive containing the message content file alongside a metadata.xml file that links each message to its record on Google servers.

How long are Google Vault export downloads available?
Google Vault export files are permanently deleted exactly 15 days after the export was created. The countdown starts from creation, not from when the export completed. There is no extension option. If your link expires, you must re-create the export from scratch inside the same Matter.
What is the metadata.xml file and do I need it?
The metadata.xml file links every exported message to its record on Google servers via Message-ID. It also contains custodian attribution, account information and Google-reported timestamps. Always download it alongside the MBOX or PST file. It is required for legal admissibility under FRCP Rule 34 to prove the exported data matches what Google stores. Can I export Gmail and Google Chat from the same Matter?
Yes, but as separate exports. Each Google Vault search covers a single service. Run a Gmail search, export it, then run a separate Chat search and export that. Both exports will appear on the Exports tab of the same Matter. You can have up to 20 concurrent exports running across your organisation.
Why does my export show "Export contains partial results"?
Google Vault stops large exports after 24 hours of processing and shows this message. Download the messages exported so far, then click Continue export to resume. Vault will process more messages for another 24 hours. Repeat until the Remaining column shows zero. Use a narrower date range per export to avoid hitting the 24-hour limit.
Can I open Google Vault MBOX exports in Outlook?
Not directly. Outlook cannot open MBOX files natively. Use Univik Google Vault Converter to convert MBOX exports to PST. The converter also reconstructs Gmail labels as Outlook folders, which Vault's native PST export does not do.
Does the export include attachments?
Yes. All attachments are embedded in the MBOX or PST export files. However, if a message attachment was permanently deleted from Gmail before the export, Vault will log a non-transient error for that message in the error report CSV included in the export. What is Multi-party approval and does it affect exports?
If your Google Workspace super admin has enabled Multi-party approval for Vault exports, any export request triggers an approval workflow. A second designated Vault admin must approve the request within 15 days, otherwise the request is discarded. Approval is only required for exports initiated from the Vault UI — not for exports via the Vault API.
Troubleshooting Common Issues
1 Export button is missing or greyed out after search

Your account is missing the Manage Exports Vault privilege. Ask your Google Workspace super admin to grant you the Manage Matters, Manage Searches and Manage Exports privileges in the Admin console under Apps → Google Workspace → Vault. If Multi-party approval is enabled, an export button will appear but processing will not start until a second admin approves.

2 Export shows "Export contains partial results" after 24 hours

Vault stops large exports at 24 hours. This is normal for large archives. Download the partial export, click Continue export to create a follow-on export job, and repeat until all messages are exported. To avoid this, narrow your search to shorter date ranges (e.g. export per quarter or per year) so each job completes within 24 hours.

3 Download link shows "Export expired" or files are gone

The 15-day window has passed. You must re-create the export from scratch. Open the same Matter, go to the Search tab, run the same search again and create a new export. Download immediately this time. Consider setting a calendar reminder on the day you create an export to ensure you download within the window.

4 MBOX file cannot be opened in Outlook

Outlook does not support MBOX format natively. Use Univik Google Vault Converter to convert the MBOX export to PST. The converter also reconstructs Gmail labels as Outlook folders and preserves the metadata XML chain of custody in the converted file.

5 Some accounts are missing from the export

Vault only returns data for accounts that existed and had data during your search date range. Deleted accounts must have been suspended (not permanently deleted) within the retention period to be searchable. Also check that you entered the account email addresses correctly in the Accounts field — a typo will result in no results for that account. A CSV file in the export lists accounts with errors if any were unreachable.
