How to Export Messages from N-able Mail Assure

Log in to the Mail Assure Admin Dashboard

Access your Mail Assure control panel

Open your browser and navigate to your Mail Assure admin panel. You can access it through your N-able partner portal or directly at your Mail Assure domain URL (https://[yourdomain].mailassure.com). Log in using your admin credentials.

End users access Mail Assure at the same URL but with their email address as the username. They will only see their own messages. Domain administrators see all messages for the domain.

Select Messages for Export

Choose all or specific messages from the filtered results

In the message list, use the checkbox in the header row to select all messages matching your filter, or check individual rows for selective export. Once messages are selected, an action toolbar will appear with the export option.

Initiate the Export

Confirm the export and let Mail Assure prepare the ZIP file

Click Export / Download in the action bar. A confirmation dialog will appear showing the number of messages to be exported and the expected output format. Confirm to start the export process. Mail Assure will begin preparing your ZIP archive in the background.

What is Inside the Mail Assure Export ZIP?

When you extract the ZIP file, you will find individual .eml files — one per archived message. Each EML file is a complete email in RFC 5322 format, containing the full message body, all headers and attachments encoded inline.

What format does Mail Assure export archived emails in?
N-able Mail Assure exports archived emails as a ZIP file containing individual EML files — one .eml file per message. Can I open Mail Assure EML files in Outlook?

Who has permission to export from Mail Assure?

How long does the export download link stay active?
Mail Assure export download links are available for a limited time after the export completes. Download your ZIP file as soon as the export is ready and save it to a secure local location. If your link expires before you download it, you will need to re-run the export from the Messages log.
Can I export inbound and outbound messages together?
No. Mail Assure stores inbound and outbound messages in separate archives. You will need to perform two separate exports — one from the Incoming section and one from Outgoing — and download two separate ZIP files. Is there a message count limit per export?
Mail Assure does not publish a hard per-export message count limit, but very large exports may be split across multiple ZIP files or may take several hours to process. For large domain migrations, it is recommended to export in smaller date-range batches (e.g. per quarter or per year) to keep file sizes manageable and reduce the risk of timeout errors.
Are attachments included in the Mail Assure EML export?
Yes. Attachments are encoded as MIME parts inside each EML file, exactly as they were in the original email. All attachment types — documents, images, PDFs, spreadsheets and archives — are preserved. Troubleshooting Common Issues
1 Export or Download button is not visible

End users only see the export option if it has been enabled by the domain administrator. Log in as a domain admin and go to Settings → Users, find your account and confirm the export permission is enabled. If you are an MSP and cannot see export for a customer domain, check that your admin role has export rights for that domain.

2 Export is taking a very long time

Large exports (tens of thousands of messages) can take several hours. Keep the browser tab open and check back periodically, or wait for the notification email. To speed things up, reduce the scope of your export by narrowing the date range or filtering to a specific user rather than the full domain.

3 Downloaded ZIP file won't open or appears empty

Make sure the download completed fully before attempting to open it. A partially downloaded ZIP will appear corrupt or empty. Check your browser's download manager to confirm the file size matches the expected size shown in the Mail Assure export dialog. If the file is 0 bytes or significantly smaller than expected, delete it and download again.

4 Some messages are missing from the export

Mail Assure only archives messages that passed through its filtering at the time they were received. Messages from before Mail Assure was configured for your domain will not be present. Also check that you exported from both Incoming and Outgoing if you need messages in both directions. Spam that was quarantined or rejected may be in a different section of the log.

5 EML files open in a text editor instead of an email client

EML files are plain text files and your operating system may not know which app to open them with. Right-click any EML file and choose "Open with" to select an email client, or use Univik Mail Assure Converter to batch-convert the entire ZIP to PST or MBOX format instead of opening individual files.
