How to Export Messages from Barracuda Message Archiver

Log in to the Barracuda Message Archiver

Access the web interface with administrator or auditor credentials

Open your browser and navigate to your Barracuda Message Archiver web interface URL. This is typically the appliance IP address or hostname, for example https://barracuda.company.com. Log in with your Administrator or Auditor account credentials.

Search for Messages to Export

Use the search form to narrow down the messages you need

Enter your search criteria in the search form. You can filter by sender (From), recipient (To), subject keywords, date range and other fields. Leave fields blank to match all values. Click Search to run the query.

Search as User tool. As an administrator you normally see all messages. To search and export messages as a specific user sees them, use the Search As User tool available in the Search page settings. This limits results to that user's accessible messages and also enables the Folder Data export option if the user is an LDAP user.

Select Messages and Click Export

Choose all or specific messages from the search results

After the search runs, use the checkbox in the header row to select all messages, or check individual rows. Once messages are selected, the action toolbar appears with the Export option. You can also choose Current Search Results to export everything matching your search without selecting individually.

Configure Export Settings

Choose format, chunk size, EML naming and journal wrapper options

Clicking Export opens the export configuration dialog. This is where Barracuda's unique options become important. Set the format, chunk size and EML naming convention, then decide whether to enable journal wrapper preservation for Exchange-journaled messages.

After clicking Export, the job runs as a background task. Click the Tasks tab on the Search page (or navigate to BASIC → Search → Tasks) to see all running and completed export tasks. Large exports split into multiple chunks — each chunk appears as a separate download row on the Tasks tab.

Scheduled Exports

For ongoing compliance workflows, Barracuda supports Scheduled Exports that run automatically on a recurring basis. Instead of manually running a search and exporting, you define a Saved Search and set it to export all new data that has been archived since the previous run.

Scheduled Exports are configured under POLICY → Scheduled Exports. Both Administrators and Auditors can set them up. Each Scheduled Export is based on a Saved Search from the BASIC → Search page, and each run produces a PST file available for download from the Scheduled Exports page.

Use Scheduled Exports for long-running eDiscovery investigations. If you are under a legal hold that requires all new email meeting certain criteria to be exported regularly for review, Scheduled Exports automate this without requiring manual search and export runs every time.

What is in a Barracuda Export?

Barracuda delivers exports either as a PST file or a ZIP file containing individual EML files. Large exports are split into multiple chunks of the size you selected. Each chunk is a separate downloadable file.

What is Preserve Journal Wrappers and when should I enable it?
When Barracuda archives messages via Microsoft Exchange journaling, it stores the original journal envelope alongside the message. This envelope contains BCC recipients and original SMTP data that are not visible in the standard email headers. Enable Preserve Journal Wrappers if you need BCC discovery for legal proceedings, compliance audits (HIPAA, SOX) or any situation where the complete recipient list matters. The envelope data will be included in the exported PST or EML files.
Who can export from Barracuda Message Archiver?
Administrators and Auditors can export any messages in the archive without restriction. Users with the User role can only export their own messages, and only if the administrator has enabled this permission in BASIC → Administration → Search Page Settings. If you do not see an Export button, contact your Barracuda administrator to enable export permissions for your account.
How do I export a very large archive that causes browser timeouts?
For very large archives, use the SMB/CIFS share access feature instead of downloading through the web browser. Ask your Barracuda administrator to enable SMB access from ADVANCED → SFTP Transfer or the SMB share settings. Once enabled, you can mount the Barracuda share as a network drive and copy export files directly without browser download limitations. The files you copy from the SMB share are the same PST and ZIP files as web downloads.
Can I open Barracuda ZIP/EML exports in Outlook?
Not directly. Outlook cannot import EML files natively. Use Univik Barracuda Archive Converter to convert the ZIP/EML chunks to PST format. The converter handles all three EML naming conventions automatically and merges multiple chunks into a single output file.
What is the Folder Data export option?
The Export Folder Data if Present option preserves the original email folder structure (Inbox, Sent Items, custom folders) in the exported PST. This option is only available when logged in as an LDAP user or when using the Search As User tool to search as a specific LDAP user. It is not available when logged in as the admin account directly.
Troubleshooting Common Issues
1 No Export button visible in the action bar

The Export button is not shown by default for all users. An administrator must enable it under BASIC → Administration → Search Page Settings. If you are an administrator and still cannot see it, ensure the setting is enabled for your own admin role. Also make sure you have messages selected before looking for the action bar — it only appears after selection.

2 Export task is stuck or has not appeared on the Tasks tab

Exports run as background tasks and may take several minutes to appear. Refresh the Tasks tab. Large exports of tens of thousands of messages can take hours to process. If a task does not appear after 10 minutes, try submitting the export again. If the Barracuda appliance is under heavy load from other tasks, queued exports will start once resources are available.

3 Browser download times out for large exports

Set a smaller chunk size (800MB instead of 4.7GB) so each download takes less time. Alternatively, enable SMB share access from the Advanced settings to copy files directly over the network without browser download limits. For PST files larger than 250MB, Barracuda recommends using the Queued Import method or SMB share rather than the web interface download.

4 EML files open as plain text instead of email messages

EML files are plain-text RFC 5322 format. Windows may not know which application to open them with. Right-click any EML file, choose "Open with" and select an email client such as Windows Mail, Outlook Express or Thunderbird. Alternatively, use Univik Barracuda Archive Converter to batch-convert the entire ZIP to PST or MBOX instead of opening individual EML files.

5 BCC recipients are missing from exported messages

BCC recipient data is stored in the Exchange journal wrapper, not in the standard email headers. When re-exporting, make sure the Preserve Journal Wrappers toggle is enabled in the export configuration dialog. If you have already exported without this option, you will need to re-export with it enabled to include BCC data. Also confirm that your Barracuda is configured to archive via Exchange journaling — if it archives via SMTP relay instead, journal wrappers may not be present.
