How to Export Messages from Mimecast Archive

Complete step-by-step guide to export your Mimecast archived emails as 500MB EML ZIP batches or PST files using Saved Searches in the Mimecast Administration Console.

Log in to the Mimecast Administration Console → Archive → Saved Searches → right-click a Saved Search → Export Search → choose EML or PST format → Save. Then go to Governance & Compliance → Exports & Updates and download each batch when status shows Complete. Important: You cannot export directly from Archive Search — you must use Saved Searches. Common mistake: You cannot export from the Archive → Archive Search page. Mimecast only permits exports from Saved Searches. If you do not see an export option, you are in the wrong section — go to Archive → Saved Searches and either create a new search or right-click an existing one.
Who can export from Mimecast? Only users with Super Administrator, Full Administrator or Discovery Officer permissions can initiate archive exports. Regular users do not have export access. Mimecast allows a maximum of 5 concurrent exports running at the same time across your organisation.

Log in to the Mimecast Administration Console

Access the admin console using your administrator credentials

Open your browser and go to the Mimecast Administration Console at https://login.mimecast.com. Log in using your Super Administrator, Full Administrator or Discovery Officer account credentials.

Save and Run the Search

Save your search criteria so the export option becomes available

Click Save and Exit to save your search. Mimecast will run the search automatically and the results will appear inside your Saved Search folder. You can click the search to preview message counts and verify the scope before exporting.

Right-Click the Saved Search and Select Export Search

Initiate the export and choose your output format

Right-click on the Saved Search name in the tree to open the context menu. Select Export Search from the menu. A dialog box will open where you configure the export.

Which format should I choose? Choose EML if you plan to use Univik Mimecast Archive Converter (it reads the ZIP directly). Download Export Batches from Governance & Compliance

Monitor export status and download each batch as it completes

After clicking Save, go to Governance & Compliance → Exports & Updates in the top navigation. Your export will appear in the list with a status indicator. Large exports are automatically split into 500MB batches — each batch appears as a separate row and must be downloaded individually.

Click Download next to each completed batch. Batches 5 and 6 will appear when batch 4 completes.
Do not navigate away before a batch finishes downloading. If you click "Generate Next Export Block" on the Exports page before the current batch has fully downloaded, Mimecast will delete the current batch from its server. Download each batch fully before proceeding to the next.

What is Inside the Mimecast Export?

Mimecast delivers exports as 500MB ZIP batches. Each ZIP contains individual EML files — one per archived message. Unzip any batch to see the EML files inside. The full export for a large archive may span many batches that together form your complete archive.

Why can I not see an export option in Archive Search?
Mimecast deliberately restricts exports to Saved Searches only. The Archive Search page lets you browse and preview messages but has no export button. You must go to Archive → Saved Searches, create a new search (or use an existing one), right-click it and select Export Search. This is the only path to a Mimecast archive export.
What formats can Mimecast export in?
Mimecast exports in two formats: EML — individual EML files packed into 500MB ZIP batches — and PST — Microsoft Outlook format delivered as a single file (or multiple if the archive is large). Choose EML for maximum flexibility and compatibility with converters. Choose PST if your destination system accepts it directly.
How large are the Mimecast export batches?
Mimecast splits exports into 500MB ZIP batches. A large archive export will produce many batches. For example, an export of 28,000 messages may produce 6 or more ZIP files. Who has permission to export from Mimecast?
Only users with Super Administrator, Full Administrator or Discovery Officer permissions can initiate archive exports. Regular users cannot access Saved Searches or Exports & Updates. Mimecast also limits your organisation to a maximum of 5 concurrent exports running simultaneously.
Can I open Mimecast EML files directly in Outlook?

Are X-Mimecast headers preserved in the export?
Yes. EML exports include all original headers — routing headers, X-Mimecast-Originator, X-Mimecast-Spam-Score, X-Mimecast-Spam-Diagnosed, SPF/DKIM/DMARC results and all X-headers written by Mimecast's filtering engine. These are critical for legal admissibility. PST exports retain standard headers but may not preserve all Mimecast-specific X-headers.
Can I include BCC recipients in the export?
Yes. When configuring your export in the Export Search dialog, there is an option to Include BCC Recipients in Headers. Set this to Yes if you need BCC data for compliance or legal proceedings. This option is available to administrators and auditors only — not to end users.
Troubleshooting Common Issues
1 No Export option appears when I right-click a Saved Search

This means your account does not have Discovery Officer, Full Administrator or Super Administrator permissions. Contact your Mimecast administrator and ask them to grant your account one of these roles. Alternatively, have an administrator run the export on your behalf.

2 Export is stuck in Pending or Processing for a very long time

Large exports can take several hours to process, especially if your organisation has other exports running (max 5 concurrent). Check the Exports & Updates page for how many other exports are active. If no other exports are running and yours has been pending for more than 24 hours, raise a support ticket with Mimecast Support.

3 Batch was deleted before I finished downloading it

If you clicked "Generate Next Export Block" while a batch was still downloading, Mimecast deleted it from its server. You will need to re-run the export from scratch — go back to Saved Searches, right-click the same search and select Export Search again. Make sure each batch download completes fully (check file size matches) before clicking to generate the next batch.

4 Some messages are missing from the export

Check that your Saved Search criteria match the date range and accounts you intended. Mimecast only archives messages that passed through its filtering — messages from before Mimecast was configured will not be present. Also verify that you have not inadvertently filtered by sender or recipient. If messages were placed on Legal Hold they may require separate export from the Case Management section.

5 Cannot convert the EML ZIP files to PST or open them
