IceWarp has no fixed public host. It is mail.yourdomain.com or your IceWarp Cloud onice.io address. Guessing gives a connection error.

IceWarp signs you in by the whole address, not the part before the at sign. The password is your ordinary mailbox password.

About IceWarp Mail#

IceWarp is a business email and collaboration server built as an alternative to Microsoft Exchange, run either on a company's own servers or in IceWarp Cloud.

The IceWarp company is based in Prague in the Czech Republic and has built its mail server since the early 2000s, when it was known as Merak Mail Server. The suite pairs email with shared calendars over CalDAV, contacts over CardDAV, chat and document editing. The one thing that shapes client setup is that IceWarp has no single public host. Your server is mail.yourdomain.com or an IceWarp Cloud onice.io address such as yourcompany.onice.io. SmartDiscover can hand a client the exact host, ports and URLs from your email and password alone.

Watch out for fake support pages. Many pages ranking for email settings show a phone number and ask you to call for "expert setup help". IceWarp and Univik never ask you to call a number to enter server settings. Everything you need is free on this page.

Find Your IceWarp Server Host#

IceWarp has no single public server address. It is a mail server that your company or host runs, so the host is one of two forms. Ports and login are the same either way:

On your own domain the host is usually mail.yourdomain.com. This is the common case when your domain email sits on IceWarp.
On IceWarp Cloud the host is your onice.io address, such as yourcompany.onice.io. IceWarp Cloud creates one for every instance by default. Find it in WebAdmin under Users and Domains. You can also ask your administrator.
Not sure which? Open IceWarp webmail and read the address bar. You can also ask whoever set up the mailbox. The webmail host is the mail host.
Let SmartDiscover do it. Many clients only need your email address and password. SmartDiscover asks the server for the host and ports, so you may never type them by hand.

SmartDiscover is IceWarp AutoDiscover. Enter your email and password in a client that supports it, such as eM Client or the IceWarp Desktop Client. The server then returns every host, port and URL. Zero manual setup. If a client cannot discover it, use the host and ports on this page.

What is the onice.io host? Every IceWarp Cloud instance is built under a system address like yourcompany.onice.io. That address always works as your IMAP, POP and SMTP host, even when a custom mail.yourdomain.com is set up as well. IceWarp setup guides ask for your onice.io domain by name. To read it, open WebAdmin and look at Users and Domains, where the primary domain is your .onice.io one. Not an admin? Ask whoever runs the mailbox.

Every IceWarp Cloud mailbox has a yourcompany.onice.io system host that always works. Find it in WebAdmin under Users and Domains.

IMAP is the incoming protocol to pick for IceWarp. It holds mail on the server so every device shows one inbox. The host is your IceWarp server address from the section above.

POP downloads mail to one machine. Choose it only when a single local copy is the goal. Undecided? The comparison weighs both.

Careful with POP3 delete settings. Some clients remove mail from the server after download. Check "leave a copy on the server" if you still want mail in webmail.

IceWarp SMTP Settings#

Two ways to encrypt: IceWarp takes SSL on the secure ports 993, 995 and 465. It also takes STARTTLS on 143 and 587. Both are encrypted. Reach for STARTTLS on 143 only when a firewall blocks 993. Keep SSL on wherever you can.

SMTP handles outgoing mail. If you can read mail but not send it, the problem is here.

Set Up IceWarp in Email Clients#

The ports and login are the same in every app. The host is your IceWarp server address. Some clients discover it for you. Jump to yours:

Outlook (Windows and Mac)

Open Outlook and choose File, then Add Account. The new Outlook keeps it under Settings and Accounts.
Type your IceWarp address. Outlook may find the settings through SmartDiscover. If not, open Advanced options and pick let me set up my account manually.
Select IMAP, then your host on 993 SSL for incoming and the same host on 587 STARTTLS for outgoing.
Sign in with your full address and mailbox password. IceWarp uses your ordinary password, so there is nothing extra to generate.
Finish and send a test email to yourself to confirm both directions work.

Want calendar and contacts inside Outlook? IMAP carries mail only. For shared IceWarp calendars, contacts and tasks in the familiar Outlook window, IceWarp offers the Outlook Sync add on rather than a plain IMAP account. Mail alone is fine over IMAP with the values above.

Apple Mail (macOS)

Open Mail → Settings → Accounts → Add Account.
IceWarp is not in the list, so choose Other Mail Account.
Fill in your display name, whole address and mailbox password. Continue to the server screen.
If asked for servers, enter the IMAP and SMTP values from the tables above.
Enable Mail in the checkbox list and finish.

iPhone and iPad

Open Settings → Apps → Mail → Mail Accounts → Add Account.
Tap Other, then Add Mail Account. iOS lists no IceWarp option.
Fill your details with your mailbox password, then tap Next.
Keep IMAP selected and enter your IceWarp host for both incoming and outgoing when iOS asks.
Tap Save and wait for iOS to verify the account.

Android

Open your mail app (Gmail app, Samsung Email or another) → Add account.
Choose Other (IMAP) when your provider is not in the list.
Give your address and mailbox password. If auto setup does not catch, switch to Manual setup.
Enter the servers: your IceWarp host on 993 SSL incoming, the same host on 587 STARTTLS outgoing.
Finish setup and pull down to sync your inbox.

Thunderbird

Open Thunderbird → Account Settings → Account Actions → Add Mail Account.
Put in your name, the full address and your mailbox password. Choose Continue.
Let Thunderbird test the host, then check it landed on IMAP over SSL.
If detection fails, choose Configure manually and enter the table values above.
Select Done. Folders sync on first open.

The same four values set up any client. Pick Other or IMAP, since IceWarp is not on the auto detect list.

IceWarp Webmail Settings#

Those values wire up a client. The options here shape how the mailbox behaves. You set them in IceWarp WebClient under Settings.

Signature

Set in IceWarp WebClient under Settings then Mail. A signature stored there appears on mail sent from the browser. Each client keeps its own, so the one that shows depends on where the message left from.

Vacation Auto Reply

Set a start and a finish date and the auto reply switches off by itself. IceWarp runs it on the server, so it keeps answering while your own devices are off.

Filters and Folders

A rule built in WebClient runs on the server, sorting mail before any device fetches it. A rule set inside Outlook only works while Outlook is open, so two apps can route one message differently.

Spam and Blocked Senders

Add a sender or a whole domain to the block list. When a message goes missing, look in the WebClient spam folder first, since a client rule cannot reverse what the server already did.

Troubleshooting IceWarp Connections#

Find the exact error your email app shows, then apply the fix:

Reader Reported Fixes

A client kept guessing imap.icewarp.com and failing. There is no shared IceWarp host. Once the reader read the real host from webmail and typed it by hand, the account connected on the first try.

eM Client set the whole thing up from one screen. The reader entered only email and password. SmartDiscover returned the host and ports, so no manual server entry was needed at all.

Most IceWarp failures trace to the host or the username. Use your real host and the full email address.

Keeping a Copy of Your IceWarp Mail#

An IceWarp mailbox lives on a server your company or host controls. If that hosting ends or the domain moves, the mail can go with it. A local copy is the safe answer.

Internet Message Access Protocol. Reads mail that stays on the server, so all your devices see the same inbox, folders and read status.

POP3

Post Office Protocol version 3. Downloads mail to 1 device and can remove it from the server. Older method, still useful for local archives.

SMTP

Simple Mail Transfer Protocol. Sends your outgoing mail. Every account needs it next to IMAP or POP3, which only receive.

SSL / TLS / STARTTLS

Encryption for the connection. SSL/TLS encrypts from the start (ports 993, 995, 465). STARTTLS upgrades a plain connection (port 587).

Server host

The address a client connects to. On IceWarp it is mail.yourdomain.com or your IceWarp Cloud address such as yourcompany.onice.io, since there is no shared public host.
