Zoho has offered hosted email since 2008 and runs data centers in several regions. The detail that shapes every client setup is twofold. A Workplace mailbox on a custom domain uses the pro hosts, imappro.zoho.com rather than imap.zoho.com. Enable IMAP and POP#
Zoho keeps IMAP and POP off until you switch them on. It takes under a minute in webmail:
- Sign in to Zoho Mail webmail at mail.zoho.com, using the address for your data center. The mobile app does not show this setting.
- Open Settings, then Mail Accounts. Pick your address.
- Find the IMAP and POP section and switch the one you want to on.
- Save. New Free plan accounts get IMAP only, since POP is held back on that tier.
.com hosts for the US region. If your organization was set up on another Zoho data center, swap the suffix on every host. EU uses imappro.zoho.eu and smtppro.zoho.eu, India uses .in, Australia uses .com.au and Japan uses .jp. A US host rejects a login from another region even when the password is right. How to Generate an App Password
- Sign in at accounts.zoho.com and open the Security page.
- Enable two-factor authentication where it is off. Zoho also calls it two-step verification. The app password choice only shows after that.
- Open App Passwords and choose to generate one.
- Name it for the app, such as Outlook or iPhone Mail, then confirm.
- Copy the code Zoho shows and paste it as the password in your mail app. Spaces in it do not matter.
Set Up Zoho Workplace Mail in Email Clients#
The pro hosts and ports do not change from app to app. The menu labels are the only thing that moves. Pick yours:
Outlook (Windows and Mac)
- Open Outlook and select File, then Add Account. The new Outlook keeps it under Settings and Accounts.
- Type your Workplace address, expand Advanced options and pick let me set up my account manually.
