How mail apps sign in shifts more often than the server names do. Here is the current status for Squarespace and what it means for your setup.
Latest update
Squarespace email is Google Workspace. You set it up in Domains and Email. The mailbox then runs on Google. That makes the servers imap.gmail.com, smtp.gmail.com and pop.gmail.com. There is no Squarespace mail server.

The integration is for new accounts. Squarespace creates a fresh Google Workspace account, so it fits a domain with no email yet. To keep an email provider you already use, edit your DNS records instead.

Get these two steps done before starting. If you skip them, your email app will reject the connection even when every server value is correct.
1. Create the mailbox in Domains and Email
Open your Squarespace dashboard, head to Domains and Email, then set up Google Workspace. That builds the Google mailbox your apps will sign in to.

About Squarespace Mail#
Squarespace is a website builder founded in 2003 and based in New York. Its professional email is Google Workspace, sold and billed through Squarespace, so your mailbox is a Google mailbox on your own domain.
Squarespace runs no mail servers of its own. It sets you up with Google Workspace from the Domains and Email area of your dashboard. The integration creates a new Google Workspace account, which is why it suits a domain that has no email yet. Day to day, Gmail and the Gmail app hold your mail.

Switch On IMAP#
Gmail ships with IMAP switched off. Leave it off and a mail app logs in yet shows an empty account. Flip it on once and your apps can pull mail from then on.
- Sign in at gmail.com with the Squarespace address you created in Google Workspace.
- Open the gear menu and pick See all settings.
- Move to Forwarding and POP/IMAP in the row of tabs.
- Choose Enable IMAP in the IMAP Access block.
- Press Save Changes at the foot of the page.

Sign-In Options#
Squarespace email lives on Google, so a mail app cannot use your plain password. Two routes get you in. Current apps run Sign in with Google. Apps that cannot do that fall back to an app password. Either way the username is your full address.
Sign in with Google
The route Google favours. Recent Outlook, the new Outlook, Apple Mail and the Gmail app all offer it. Add the account, choose the Google option, then accept the permission screen.
Nothing is typed into the app. Google passes it a secure token.
App password
For clients with no Google option. Switch on 2 Step Verification, generate a 16 character code, then use it where the app asks for a password.
Suits terminal clients, older devices and dated Outlook builds.
Generate an App Password
- Go to your Google Account at myaccount.google.com and open Security.
- Switch on 2 Step Verification if it is off. The app password option needs it.
- Open App passwords and give the entry a clear name.
- Take the 16 character code and drop it into the password field in your app.
Set Up Squarespace in Email Clients#
The servers and ports are always the same. Only the menus differ. Jump to your app:
Outlook (Windows and Mac)
- Open Outlook and go to Add Account, then type your Squarespace address.
- Take the Sign in with Google prompt on recent Outlook and accept the permission screen.
- On a dated Outlook, set it up by hand with
imap.gmail.comon 993 SSL andsmtp.gmail.comon 587 STARTTLS. - Drop in an app password for that manual route, as a dated Outlook cannot run the Google prompt.
- Mail yourself a line to confirm both directions.
Apple Mail (macOS)
- Open Mail and go to Accounts, then Add Account.
- Choose Google from the list so Mail runs the Google prompt.
- Type your Squarespace address and accept the permission screen.
- Leave Mail ticked for the account. Apple Mail supplies the Google servers.
- Watch the inbox load once the first sync runs.
iPhone and iPad
- Open Settings then Mail, tap Mail Accounts and Add Account.
- Tap Google so iOS runs the sign in for your Squarespace address.
- Accept the permission screen to let Mail read the account.
- Switch Mail on for the account. iOS supplies the Google servers.
- Open Mail and let it sync.
Android
- Launch the Gmail app and choose Add another account.
- Choose Google, since a Squarespace address is a Google account.
- Enter the address and accept the prompt. The Gmail app sorts the servers.
- On a non Gmail app, pick Other, then imap.gmail.com 993 SSL and smtp.gmail.com 587 STARTTLS with an app password.
- Finish up and swipe down to bring in your mail.
Thunderbird
- Open Thunderbird and add a mail account from Account Actions.
- Give your name and Squarespace address, then select Continue.
- Let Thunderbird use OAuth. Recent builds open the Google prompt themselves.
- Accept the permission screen, with IMAP chosen and SSL on both servers.
- Select Done to wrap up.
Squarespace Webmail Settings#
Server settings link your apps. The options below decide how the mailbox behaves by itself. Since the mailbox is Gmail, they sit in Gmail settings or the Google Admin Console.
Signature
In Gmail open Settings then General for a signature. It rides on mail sent from Gmail. Outlook and other apps carry their own.
Vacation Auto Reply
In Gmail open Settings then the Vacation responder. Add a start and end date so it stops itself. Google sends the reply from the server, so your machine can be off.
Filters and Folders
In Gmail open Settings then Filters and Blocked Addresses. Rules Google holds sort your mail before Outlook or your phone loads it. App level rules run only while the app is open.
Spam and Blocked Senders
Google screens spam and phishing on the way in. Use the message menu in Gmail to block a sender. An admin sets domain wide rules in the Google Admin Console.

Squarespace Sending and Storage Limits#
Google Workspace limits sending so one mailbox cannot swamp the network. Learn the rough figures before you bulk forward or move a mailbox:

Free Year, Renewal and Suspension#
Squarespace is a Google Workspace reseller, so it bills the mailbox for you. That billing is the usual reason a working Squarespace email later stops. Here is how the free year, the renewal and a suspension fit together.
The free year and what follows
- Higher website tiers include a free year of the Google Workspace Starter plan for one new address per site. Extra addresses run at the normal per user price.
- After that first year the account renews at the standard rate. To stop it, switch off auto renew before the renewal date.
- On monthly billing you have to keep auto renew on to get the full free year.
Signed in but nothing sends or arrives?
When the account is active yet mail will not move, the cause is nearly always the MX records that route mail for your domain:
- The Google Workspace MX records are wrong or missing.
- Old MX records were left in place when the new ones went in.
- You added custom nameservers and never put the Workspace MX records at that nameserver host.
A DNS change can take up to 48 hours to take hold.
Troubleshooting Squarespace Connections#
Find the exact error your email app shows, then apply the fix:

Reader Reported Fixes
Check IMAP before you touch the password. An empty account usually traces back to IMAP being off in Gmail. Switching it on, then re adding the account, restored every folder for readers. This is the leading cause of a blank Squarespace mailbox in an app.
Reach for an app password on a dated client. When an older build kept refusing the login, a 16 character app password sorted it. Switch on 2 Step Verification, make the code, then paste it where the password goes.
Moving Mail In or Out?#
Squarespace email is Google Workspace, so moving mail either way runs over the Google servers on this page. Google also has a built in data import in the Admin Console for pulling old mail across.

IMAP
Internet Message Access Protocol. Reads mail that stays on the server, so all your devices see the same inbox, folders and read status.
POP3
Post Office Protocol version 3. Downloads mail to 1 device and can remove it from the server. Older method, still useful for local archives.
SMTP
Simple Mail Transfer Protocol. Sends your outgoing mail. Every account needs it next to IMAP or POP3, which only receive.
SSL / TLS / STARTTLS
Encryption for the connection. SSL/TLS encrypts from the start (ports 993, 995, 465). STARTTLS upgrades a plain connection (port 587).
App Password
A 16 character Google code for apps with no Google sign in option. It needs 2 Step Verification on and stands in for your password in that app.
Sign in with Google
Google OAuth. You approve access in a Google window and the app receives a token rather than your password. The route Google favours.
Google Workspace
The email and apps suite from Google. Squarespace provisions and bills it, which makes your mailbox a Google mailbox on your domain.
Domains and Email
The area of the Squarespace dashboard where you create the Google Workspace mailbox and handle its billing.

The setting that charges the next term by itself. On monthly billing it has to stay on for the full free year. Switch it off to stop a renewal.
